FOR SOLO ATTORNEYS AND SMALL FIRMS

A law firm CRM for intake: from the first call to the signed engagement letter.

If you cannot pick up on the first call, you usually lose them, and your paralegal is a paralegal, not the phones. NexaCloser sends the caller a text from the firm, takes a name, the type of matter and a time, books the consult by your rule, free or paid, and follows up until they retain or say no. It does not give legal advice. You do the lawyering.

FIRST, THIS

The phone is personal.

A person calling a lawyer is usually having a bad week. You want them to reach someone. And when it is a referral, it is a matter of honor that somebody answers.

You also cannot spend the day on calls that begin with a quick question and go back to 2005. Your time is your stock in trade, and so is your paralegal's.

So this does the first five minutes and nothing more: who is calling, what kind of matter, when can they talk. It never discusses the merits. You decide who gets a consult and who gets a courteous no.

WHERE INTAKE BREAKS

You do not lose good cases in court. You lose them at the phones.

01

The first call

If nobody picks up, they hang up and call the next firm until someone answers.

02

The voicemail nobody owns

A general inbox, an audio message nobody plays, a potential client who gets the wrong attorney.

03

Consulted, then silence

They speak to several lawyers, take their time and disappear. Following up feels like chasing, so it does not happen.

HOW IT WORKS IN YOUR FIRM

It takes a name, the matter and a time. You do the rest.

The phones

When nobody can pick up, the caller hears from the firm

A missed call gets a text from the firm: we are with a client or in court, please tell us briefly what this concerns, and here is how to book a consult. The reply lands in one inbox that someone owns, as text you can read in ten seconds, not an audio file.

  • A text in the firm's words when a call is missed
  • One inbox for texts, email and web inquiries, with calls logged
  • Messages can wait for business hours

DD. Ramirez

Thank you for calling Harper Law. We are in court this morning. Please tell us briefly what this concerns, and you can book a consult here.

The firm's saved text

Car accident last week. I filled in the form.

Thank you, Mr. Ramirez. Attorney Harper can speak with you tomorrow at 2:00. You will get a reminder in the morning.

Intake form

Know what the matter is before you call back

A short intake form for each practice area asks what you would ask in the first five minutes: what happened, when, who is involved, who referred them. The answers sit on the potential client's record, so you can tell in a minute whether it is a matter you handle. Conflict checks stay with you.

  • An intake form per practice area
  • The referral source saved with the record
  • A board: new inquiry, consult booked, letter sent, retained, declined

Consults

Free consult or paid consult. Your rule.

Potential clients book the initial consult from a link, by phone, by video or in the office. If you charge a consult fee, it is paid at booking, so the people on your calendar have some skin in the game. They get reminders, and you get the intake answers first.

  • Free or paid consults, by attorney
  • A consult fee paid at booking, through your own Stripe account
  • Reminders the day before and that morning

ALSO INCLUDED

WHAT IT WILL NOT DO

Intake only, and nothing more.

No legal advice

It takes a name, the matter type and a time. It never discusses merits, strategy or outcomes.

No AI on your phones

Callers get a text the firm wrote, and then a person. The AI agent in the product stays off unless you turn it on.

Not practice management

No conflict checks, matters, time entries, trust accounting or deadlines. Keep what you use for those.

No annual contract

Month to month, $97 for the firm. You cancel in Billing.

ONE POTENTIAL CLIENT, START TO FINISH

From the first call to retained.

01

A call is missed

You are in a hearing and your paralegal is with a client. It rings out.

02

The firm texts back

Thank you for calling. Please tell us briefly what this concerns, and you can book a consult here.

03

The consult

The intake form is filled in and the consult is booked for tomorrow at 2. You read the facts first.

04

Retained, or a courteous no

The engagement letter goes out for signature. A reminder on day two, a task for you on day five.

ВОПРОСЫ

Fair questions

Is this practice management software?

No. It does not do conflict checks, matter management, time tracking, trust accounting or court deadlines. It covers intake and follow-up: the missed call, the intake form, the consult booking, the reminders and the board until a client is retained.

Does anything here give legal advice or screen the merits?

No. The automatic messages are ones the firm wrote, and they ask for a name, the type of matter and a time. The AI agent in the product is off by default. If you turn it on, it answers WhatsApp text only and follows the rules you write.

What about confidentiality and privilege?

Decide by your own professional rules what belongs in an intake form or a text. Access is by user and role, and the security page lists how data is stored and who our subprocessors are. This is general information, not legal advice.

Can I charge a consult fee?

Yes. A booking page can take payment when the consult is booked, through your own Stripe or PayPal account. Free consults work the same way without the payment step.

Is there a contract?

No. Month to month, $97 for the firm, and you cancel in Billing. The first 30 days are free: card needed, $0 today, and you pay nothing if you cancel before day 30.
